CRM integration that gets every lead, job and invoice into the right place

Most businesses already have good tools. The trouble is they don't talk to each other. Enquiries sit in an inbox, jobs get retyped into another system and invoices get keyed in again at the end of the week. Our CRM integration work connects your website, phones, ads, job management and accounting to your CRM, so data moves on its own and your team stops playing copy and paste. We're a Gold Coast team working with businesses across Australia.

Jobs your team does by hand every week

Each of these takes a few minutes. Add them up across a team and a year, and it's a part-time role spent retyping things that already exist somewhere else.

Every retype is also a chance for a typo, a missed lead or a customer who gets asked the same question twice.

The switchboard

How your systems should talk to each other

Think of your business as an old telephone switchboard. Leads and jobs come in on the left and need to reach the right places on the right. CRM integration is patching the cables so every call gets through. Scroll to patch them in.

  1. Website forms to CRM

Every enquiry becomes a contact and a deal with the page, ad and keyword it came from.

  2. Calls logged automatically

Tracked calls land against the right contact, so phone leads count as much as forms.

  3. Ad leads with their source

Lead form entries from Google and Meta go straight into the pipeline, tagged by campaign.

  4. Instant alerts

The right person gets a text or message the moment a hot lead arrives.

  5. Bookings become jobs

Online bookings create the job, the customer and the calendar slot in one go.

  6. Payments reconciled

Deposits and payments from online bookings land in Xero or MYOB against the right customer.

  7. Follow-up that runs itself

New contacts get the right emails based on what they asked about.

Plain English

What CRM integration actually means

CRM integration means your customer records, jobs and invoices stay in sync across every tool you use, without anyone copying them from one screen to another.

Your CRM should be the one place that knows everything about a customer: how they found you, what they asked for, what you quoted and whether they paid. In most businesses it isn't, because half of that lives in other systems that were never connected.

Integration fixes that with rules. When a form is sent, create the contact. When a deal is won, create the job. When the job is done, raise the invoice. Once those rules run on their own, the CRM becomes something your team trusts instead of something they update when they remember.

What we build

CRM integration services we build most

Every business is wired differently, but these are the connections we're asked for again and again.

  • CH 01

    CRM integration with your website

Forms, quote calculators and bookings feed the CRM with source tracking, spam filtering and assignment rules.

  • CH 02

    Lead routing and alerts

Leads go to the right person by service, suburb or value, with a text or message so nothing waits overnight.

  • CH 03

    CRM to job management

Won deals create jobs in tools like ServiceM8 or simPRO with the customer details already filled in.

  • CH 04

    CRM to accounting

Invoices and payments sync with Xero or MYOB so sales and accounts see the same numbers.

  • CH 05

    Email follow-up

New leads and past customers get timely, relevant emails from your email platform, driven by CRM data.

  • CH 06

    Reporting that joins the dots

One view from ad click to paid invoice, so you know which marketing brings in real revenue.

Built to last

Built so it doesn't quietly break

The worst integration is one that stops working and nobody notices for a month. We build ours so problems get noticed early.

  • Error alerts

If a record fails to sync, someone is told straight away, with enough detail to fix it.

  • Logs and retries

Every sync is logged, and temporary failures retry on their own.

  • Your accounts, your data

Connections run under accounts in your name, and your data stays in your systems.

  • Plain-English handover

A short document of what connects to what, and what to do if something changes.

Process

How a CRM integration project runs

  1. Project review

We look at your tools, your data and the handovers that cause the most pain, then agree the first priorities.

  2. Systems map

We map where each lead, job and invoice starts and ends, and decide which system owns each field.

  3. Build and test

We build each connection and test it with real sample records before anything touches live data.

  4. Clean and import

Where needed, we clean duplicate records and import history so you start with data you can trust.

  5. Launch and hand over

We switch it on, watch it closely for the first weeks and train your team.

Why WDC

CRM consultants for Brisbane and the Gold Coast

Our studio is on the Gold Coast, and we connect systems for businesses in Brisbane, across Queensland and around Australia. Most of the work happens remotely, but we're happy to sit down with your team in person for the mapping session.

Unlike a single-CRM consultant, we're not tied to one product. We also build websites, run Google Ads and write custom software, so we can fix the whole path from the first click to the paid invoice.

CRM integration FAQs

01

What is CRM integration?

CRM integration connects your customer relationship management system to the other tools in your business, such as your website forms, phone system, ads, job management, email and accounting. Data moves between them automatically, so a new lead, job or payment shows up everywhere it needs to without anyone retyping it.

02

How much does CRM integration cost?

A single focused connection, such as website forms into your CRM with routing, starts from $2,500 plus GST. Projects that connect several systems or add automated follow-up and reporting start from $5,000 plus GST. Large or unclear projects begin with paid discovery so the quote is based on facts, not guesses.

03

Which CRMs do you work with?

We work with the CRMs and job systems Australian businesses commonly use, such as HubSpot, Zoho, Pipedrive, Salesforce and ServiceM8, and with most other tools that offer an API. If your system has no API, we'll tell you early and suggest the next best option.

04

Can you connect my website forms to my CRM?

Yes, and it's usually the first job. Every form, quote request and booking goes into the CRM with the page, ad and keyword it came from, gets assigned to the right person and triggers an alert, so no enquiry sits in an inbox overnight.

05

Can you connect our CRM to Xero or MYOB?

Yes. Common setups send won deals or completed jobs to Xero or MYOB as draft invoices, and bring payment status back into the CRM, so your sales and accounts teams see the same picture.

06

Do you help choose or set up a CRM?

Yes. If you don't have a CRM yet, or you've outgrown the one you have, we'll help you pick one that fits how you sell, then handle the CRM implementation: pipelines, fields, data import and training.

07

What happens if an integration breaks?

We build in error alerts and logs, so failures get flagged instead of silently losing data. Accounts and credentials stay in your name, and we document how everything works. Ongoing support is available as part of a wider engagement, or as extra technical work when you need it.

08

Is this the same as AI integration?

Not quite. CRM integration moves data reliably between systems using fixed rules. AI integration adds a model that reads, sorts or drafts things for people to approve. Many projects start with a solid CRM integration and add AI later.

Stop retyping. Start connecting.

Tell us which tools you use and where things fall through the gaps. We'll map it out and show you what to connect first.
