Website Maintenance Checklist for Australian Small Businesses

Keep your website working with a practical maintenance routine covering enquiries, backups, updates, access and clear ownership.

A useful website maintenance checklist covers working enquiries, recoverable backups, software updates, account access and renewals. Give every task an owner and record evidence that it worked. A website loading successfully does not prove that its forms, bookings or recovery process work.

For an Australian small business, maintenance should answer a practical question: could customers still reach you, and could your team recover the site if something failed today?

Use the schedule below as a starting point. Adjust it to how often your website changes, how much business it handles and the consequences of an outage. It is a suggested operating routine, not a mandatory industry standard.

Do not wait for a monthly appointment to assess an urgent security update or investigate a failed enquiry. Set an escalation process alongside the calendar.

Name the owner before adding more tasks

Hosting, maintenance and marketing can involve different suppliers. Ask each one what it manages and where its responsibility ends. A hosting invoice alone does not establish who updates your application or checks enquiries.

Create a short ownership record with these fields:

  • Service: domain registration, hosting, website application, email delivery or booking integration.
  • Business owner: the person accountable for keeping it available.
  • Technical contact: the person or provider who can diagnose and repair it.
  • Access location: the approved password manager or access process, without putting passwords in the document.
  • Renewal and recovery notes: upcoming dates, support route and relevant backup location.

Keep this record accessible if the website itself goes offline. Review it when a staff member or supplier leaves.

Check the full enquiry journey

Submit a clearly labelled test through the main form using a business-controlled test address. Confirm that the website acknowledges it, the correct inbox or customer system receives it, and someone can follow up. Remove test records through your normal process afterwards.

If you take bookings, check the appointment information and confirmation. For purchases, use your provider's supported test environment or agreed testing procedure rather than creating unintended charges.

A hypothetical plumbing business might see its homepage load normally while its enquiry emails go to a former employee. An availability monitor would not establish that the enquiry reached the current team. The end-to-end check catches a different problem.

Prove that backups can restore the service

Ask what your backup contains: uploaded images, application files, database records and the configuration needed to connect them. Identify external services that require their own recovery arrangements.

ASD's Australian Cyber Security Centre recommends backing up important data, software and configuration and testing restoration. Its cloud backup guidance explains why untested dependencies can cause recovery problems. Read the ACSC backup guidance.

Translate that principle into two business decisions:

  1. How much recent work could we afford to lose? A brochure site and a busy online shop may need different backup frequencies.
  2. How long could we operate without the website? Include the time needed to obtain access, restore data and test the result.

Ask your technical provider to restore the service into an isolated environment. Disable live payments, customer notifications and other production actions there. Protect any copied customer data and remove temporary copies when the exercise ends.

A useful test checks more than whether a file downloads. Confirm that pages, images and required records load and that dependencies work under controlled test conditions. Record the elapsed time and any missing pieces.

Apply updates with a recovery plan

The ACSC identifies software updates, multi-factor authentication and backups as starting measures for small businesses. Its small business cyber security guide explains these measures.

For website maintenance, agree on a repeatable process with your provider:

  • Review the update and its urgency.
  • Confirm a suitable recovery point before changing the site.
  • Test changes in a separate environment where practical.
  • Apply the change and check affected customer journeys.
  • Record the version, outcome and any follow-up work.

A WordPress website, a hosted website builder and a custom application divide responsibility differently. Ask which updates the platform handles automatically and which still belong to your team. Avoid assuming that every site needs the same plugin checklist.

Review access and renewals

Check that current staff have appropriate access and remove access that people no longer need. Use individual accounts where the service supports them so ownership remains clear. Keep account recovery methods current and enable multi-factor authentication where available.

Review domain, hosting and paid integration renewals together. Confirm that notices reach a monitored business address and that the person responsible can act on them. Include automatically renewed services in the review; an expired payment method or inaccessible account can still interrupt the process.

Check your public phone number, opening hours and service information at the same time. A technically healthy website can still send customers to an old number.

Ask for a maintenance report you can use

A report should explain what the provider checked, what changed and what remains unresolved. A list of tools or a green dashboard does not replace evidence of a working customer journey.

Common website maintenance questions

Does hosting include website maintenance?

It depends on the agreement. Ask specifically about application updates, backups, restoration, enquiry testing and incident support. Request written scope before assuming the hosting provider covers them.

How often should we test a website backup?

Agree on an interval based on business impact and the pace of change, and repeat the exercise after major changes to the recovery process. Choose the interval with the person responsible for restoring the service.

Will maintenance guarantee that our site stays secure?

No. Maintenance can reduce avoidable failures and improve recovery, but it cannot eliminate every security incident or outage. Keep a clear contact and response process for problems that still occur.

What should we fix first?

Escalate suspected compromise, broken revenue or enquiry journeys, and failed recovery arrangements. Then work through routine updates and content corrections according to impact and urgency.
